Privacy Policy
This Privacy Policy explains how Mailwynx ("we", "us") handles personal data when you visit mailwynx.com, create an account, activate a license, or buy the Mailwynx software. It is written with the EU/UK General Data Protection Regulation (GDPR) in mind because we serve customers in those regions.
1. The self-hosted model comes first
Mailwynx is self-hosted software. When you run a migration, mailbox content, credentials, and the data being migrated are processed entirely within your own environment and move directly between the source and destination providers' APIs. That data is never sent to us, stored by us, or seen by us. This policy therefore covers only the limited personal data involved in running our website, accounts, licensing, and payments — not the contents of any mailbox you migrate.
2. Who the controller is
For the data described below, the data controller is Azhar Alam (sole proprietor), trading as Mailwynx, based in Delhi, India. You can reach us about privacy at support@mailwynx.com.
3. What we collect and why
| Data | Why we hold it | Lawful basis |
|---|---|---|
| Account details — your name, email address, optional company name, and a securely hashed password | To create and secure your account, issue trial and paid license keys, and let you sign in | Performance of a contract |
| License & activation data — your license key, a non-reversible machine fingerprint, an optional hostname, and the app version | To validate entitlement and enforce your plan's machine limit | Performance of a contract; our legitimate interest in preventing license abuse |
| Payment data — your email and the plan purchased, plus a payment/order identifier from our payment processor | To process your purchase and email you a license key | Performance of a contract; legal obligation (tax/accounting records) |
| Support messages — anything you send us by email or the contact form | To answer your question | Our legitimate interest in supporting customers |
| Server logs — IP address, timestamp, and request details, kept briefly by our host and our API | Security, abuse prevention, and debugging | Our legitimate interest in keeping the service secure |
We do not collect card or bank details ourselves — those are entered directly with our payment processor (see below). We do not run advertising or third-party analytics trackers.
4. Payments
Payments are handled by Razorpay, our third-party payment processor. When you pay, your card or banking details are provided directly to Razorpay and are processed under Razorpay's own privacy policy and security standards; we receive only a confirmation, a payment/order reference, and the email tied to the order so we can issue your license. Please review Razorpay's privacy policy for how they handle your payment information.
5. Who we share data with
We share personal data only with service providers that help us run Mailwynx, and only as needed:
- Hosting — our website, account database, and licensing API are hosted with our infrastructure provider (currently Hostinger).
- Payment processing — Razorpay, as described above.
- Email delivery — to send license keys and account or support messages.
We do not sell personal data, and we do not share it for advertising. We may disclose data if required by law or to protect our rights.
6. International transfers
Our providers may process data outside your country, including outside the EEA. Where that happens, we rely on appropriate safeguards (such as the providers' standard contractual clauses).
7. How long we keep it
We keep account and license data for as long as you have an account and a valid license, and for a reasonable period afterward to handle renewals, disputes, and our legal and tax obligations. Payment records are kept as long as tax law requires. You can ask us to delete your account data, subject to those obligations (see your rights below).
8. Cookies
We use only the cookies needed to run the site:
- a session cookie set when you sign in to your account, so the site remembers you are logged in;
- a small consent cookie that records your choice on the cookie banner so we don't ask again.
We do not use advertising or third-party analytics/tracking cookies. Because we only use strictly necessary and preference cookies, the banner lets you accept or reject and the site works either way. You can also clear cookies in your browser at any time.
9. Your rights
If you are in the EU/UK (and in many other regions with similar laws), you have the right to: access the personal data we hold about you; have it corrected; have it erased; restrict or object to certain processing; receive your data in a portable format; and withdraw consent where we relied on it. To exercise any of these, email support@mailwynx.com and we'll respond within the time the law allows. You also have the right to lodge a complaint with your local data protection authority.
10. Security
We protect account data with measures appropriate to its sensitivity: passwords are stored only as secure hashes, license responses are signed, and access to our systems is restricted. No system is perfectly secure, but we work to keep the limited data we hold safe.
11. Children
Mailwynx is a business tool and is not directed to children. We do not knowingly collect personal data from anyone under 16.
12. Changes to this policy
We may update this policy from time to time. Material changes will be reflected by a new version number and date at the top of this page.
